About the Role

We are looking for a proactive Procurement & Operations Specialist to join our team. This is not a traditional supply-chain or logistics procurement role - this is an internal-facing position where you will play a key operational part in supporting our freelancer ecosystem while driving system efficiencies.

Your day-to-day work will split between primary administration support for our internal freelancers (PO lifecycle management, contracting alignment, onboarding processes) and serving as the technical owner of our internal Purchase Order Management System (POMS) to automate workflows and optimize cross-functional operations.

Key day-to-day tasks:

1. Freelance Administration & Operational Support (Core Focus)

• PO Lifecycle Management: Create, issue, track, and manage Purchase Orders (POs) and Service Orders for our extensive external contractor and freelancer network across their full lifecycle.
• External Workforce Enablement: Act as the main operational partner for freelancers, coordinating closely with HR, Legal, and Finance to manage contracts, streamline onboarding workflows, and support prompt invoicing and payment processing.
• Process Automation: Continuously analyze routine administrative steps within the contractor ecosystem to reduce manual steps, remove bottlenecks, and automate day-to-day operations.

2. POMS System Ownership & Workflow Optimization

• Master Data Management: Maintain precise, clean master data within the POMS system, managing records for a growing network of over 4,000+ suppliers and contractors.
• Technical Ownership & Super User Support: Serve as the primary admin and point of contact for the POMS platform, managing user access, resolving technical issues, and guiding internal staff on best practices.
• System Improvement: Proactively identify opportunities to improve workflows within POMS, integrating automated processes to scale our internal operations effectively.

3. Internal Procurement & Supplier Coordination

• Supplier Research & Sourcing: Conduct targeted research to identify external service providers, gather references, and analyze vendor capabilities to support internal team needs.
• Data Analysis: Review benchmark pricing, spend trends, and performance data to support strategic sourcing decisions for internal projects.
• Compliance: Ensure all internal purchasing, contractor agreements, and procurement workflows align with legal regulations, internal policies, and ethical standards.

Qualifications & Requirements

• Experience: 2–4+ years of hands-on experience in procurement operations, vendor management, or finance.
• Software & Data Skills: Strong office suite skills (esp Excel/Gsheets, Word/Docs, fluency in basic use of AI tools). Number oriented with and high attention to detail in Master Data Management. Demonstrated capability to analyse data.
• Stakeholder Management: Strong communication skills with experience collaborating across HR, Finance, and Legal departments.
• Operational Mindset: Self-starter comfortable with routine administrative workflows (POs, contractor onboarding) but eager to develop and improve CDs internal processes and systems
