Pharmexon Consulting, life sciences consultancy company focused on expert advice, is looking for proactive and detail-oriented Business Development Assistant. This role is ideal for someone who enjoys working in a dynamic and informal environment, values open communication, and likes being part of a smaller team where collaboration is direct and decisions can be made efficiently. You will have the opportunity to work closely with different departments, as well as with the company owners, who are approachable and committed to supporting each team member’s development.

Main tasks and responsibilities

• Preparing business presentations, drafting quotations, service proposals and contractual agreements according to internal and external quality standards.
• Ensuring that contracts related to pharmaceutical services are prepared using according approved templates, agreements are validated and finalized as per the company’s Standard Operating Procedures.
• Completing RFI forms (Requests for Information) and vendor qualification forms, as required. Performing weekly analysis of pending confidentiality agreements, commercial agreements and proposals.
• Coordinating with internal departments on prospective business opportunities, proposals and contracts.
• Preparing invoices and following up with clients regarding overdue payments.
• Preparing, updating, and circulating project announcement materials to ensure that relevant internal teams are informed about new projects and key project details.
• Communicating with clients on business-related matters, if needed.
• Maintaining databases and CRM platforms.
• Providing ad hoc administrative support to the Business Development team, including document dispatch and courier arrangements.

Professional competence

• Excellent written and verbal communication skills.
• Strong attention to detail, patient.
• Good organizational and time management skills.
• Proficiency with MS Office suit (Word, Excel, PowerPoint).
• Fluency in English, both written & spoken.
• Flexibility and ability to adapt to changing priorities.
• Proactive approach and willingness to understand our services and business activities.
