Part-Time Event Coordinator

MindMaze Prague is looking for a part-time Events Coordinator to join our team.

At MindMaze, we create immersive escape games and outdoor experiences for large groups, corporate clients, and private events. We're looking for someone who can help us respond to incoming inquiries quickly, convert them into bookings, and ensure the whole process is smooth and professional for our customers.

What you'll do

Your main responsibility will be to handle incoming sales inquiries and follow them through until the actual event.

Your work consists of:

• Responding to incoming inquiries from large groups, corporate clients, and private customers
• Managing large-group bookings for escape games
• Coordinating outdoor escape games, portable games, and other group experiences
• Following up with customers who haven't yet confirmed their booking
• Communicating with customers by email and phone
• Understanding what the customer needs and recommending the most suitable solution from our portfolio
• Coordinating internally to make sure larger or more complicated bookings can actually happen
• Following through with event details and custom additions, coordinating with the rest of the team

This role also requires a strong sales mindset:

• understanding what each customer really needs, identifying opportunities for customization, and confidently upselling relevant products and services
• understanding that speed matters in sales — a customer who gets a helpful answer quickly is much more likely to make a reservation

This is a flexible part-time role

This isn't a traditional 9–5 position. The amount of work depends on the number of inquiries we receive and is influenced by seasonality.

Roughly 20 hours per month, depending on seasonality. Expected high-season months: March - May, October - mid-December.

You'll have the flexibility to choose time windows during the day when you're available to handle emails, make calls, and follow up with customers, while also being responsive to active inquiries that need attention. However, take into account that corporate clients usually inquire and are available for call-back during workdays and in regular working hours.

• Friendly, confident, and professional
• Organized and good at following projects through
• Able to understand what a customer actually needs, rather than simply answering questions
• Comfortable with basic sales and persuasion — or interested in learning it
• Reliable and able to work independently
• Comfortable using email, spreadsheets and basic online tools
• Fluent in English and Czech
• Previous sales, customer service, event or hospitality experience is a plus, but we're much more interested in your communication skills, reliability and positive attitude.
