Purpose of the Role

The Customer Service Representative ensures smooth end-to-end handling of customer orders for recycled glass products and waste materials. The role is responsible for accurate order processing, invoicing, complaint handling, and maintaining effective communication with customers and internal departments in line with Sibelco’s standards and compliance requirements. In addition, the role acts as a trusted team member who supports operational excellence through cross-functional collaboration, knowledge sharing, process improvement, and coordination of activities across stakeholders.

Key Responsibilities

• Enter and manage sales orders in IT systems for product deliveries to customers.
• Process sales invoices for products and waste (valuable and non-valuable).
• Enter sales conditions and pricing terms into IT systems.
• Manage customer complaints.
• Collect and archive sales and sourcing-related documents.
• Prepare and support month-end closing activities in line with corporate deadlines.
• Maintain strong relationships with customers through professional communication and proactive issue resolution.
• Manage and update CRM database.
• Work closely with other departments on daily tasks.
• Support preparation of documentation for environmental authority inspections.
• Support colleagues in resolving operational and process-related challenges by sharing knowledge and best practices.
• Facilitate effective cooperation between team members and stakeholders across departments.
• Coordinate activities and information flow between the team, management, and other functions as required.
• Monitor ongoing activities and proactively identify risks, dependencies, or issues that may impact operational performance.
• Contribute to the implementation of process improvements and best practices.
• Support onboarding and knowledge transfer activities for new and existing team members.
• Promote a collaborative, solution-oriented, and continuous improvement mindset within the team.
• Act as a role model for company values, professional standards, and collaborative behavior.

Required Competencies & Skills

• Technical & Professional
• Proficient in computer operations (experience in sales and logistics modules in ERP systems preferred).
• Strong MS Excel skills.
• Experience in order management, invoicing, and documentation flow.
• Understanding of recycling, waste management, or manufacturing environments is an advantage.
• Ability to coordinate activities involving multiple stakeholders and ensure effective follow-up.
• High level of initiative and ownership in identifying and addressing operational challenges.

Education & Experience

• Minimum: Secondary education (preferably in administration, logistics, or economics).
• Experience in a corporate environment using ERP systems (preferably SAP) is highly valued.
• Previous experience in customer service, order management, or logistics administration preferred.
