We are looking for a proactive and highly organised Team Coordinator to join our Industrial Agency team. This role combines client support, marketing coordination, transaction administration, CRM management, and operational support, making you a key member of a successful brokerage team.

About the Role
You will be the organisational backbone of the Industrial Agency team, supporting brokers in delivering exceptional service to clients while ensuring the smooth execution of daily operations. From preparing marketing materials and client presentations to coordinating transactions and maintaining CRM data, your work will directly contribute to the team’s success and growth.

Your Responsibilities:

Client Support

• Prepare proposals, presentations, pitch documents, and client reports.
• Coordinate client meetings and presentations.
• Manage correspondence and follow up on action items.
• Support onboarding and ongoing servicing of clients.
• Produce property overviews and market information materials.

Marketing & Business Development Support

• Prepare leasing brochures and marketing materials.
• Coordinate property photography, floor plans, and marketing content.
• Produce property information memorandums and presentation materials.
• Ensure brand standards and quality requirements are maintained.
• Liaise with internal marketing teams and external suppliers.

Team & Operational Support

• Coordinate diaries, meetings, and travel arrangements.
• Prepare agendas, meeting notes, and follow-up actions.
• Organise team events, client functions, and internal activities.
• Maintain document templates, filing systems, and team records.
• Support onboarding of new team members.

CRM & Data Management

• Maintain CRM records, property databases, and client information.
• Update leasing activity and transaction data.
• Prepare market reports, pipeline summaries, and business updates.
• Support data quality initiatives and reporting processes.
• Assist with the implementation and use of AI tools to improve efficiency and data management.

Transaction Support

• Prepare Heads of Terms and leasing documentation.
• Monitor transaction progress and key milestones.
• Coordinate with internal teams, including Capital Markets, Research, and Valuations.
• Assist with invoicing processes and KYC/AML administration.

Key Requirements

• Minimum 5 years of experience in an Executive Assistant, Team Assistant, Brokerage Coordinator, Sales Support, or similar role.
• Advanced knowledge of Microsoft Office, particularly PowerPoint, Excel, and Word.
• Excellent written and spoken Czech and English.
• Strong organisational skills and exceptional attention to detail.
• Ability to manage multiple priorities and deadlines.
• Professional communication skills and confidence when interacting with clients and senior stakeholders.
• Interest in technology and process improvement.
