Role Purpose
We are looking for an experienced Senior Finance Administrator to take ownership of the day-to-day financial administration of our freight forwarding operation. In a forwarding business, finance sits at the center of every shipment: each job carries its own carrier costs, customer charges, VAT treatment and currency exposure. This role makes sure those flows are recorded accurately, reconciled job-by-job, paid on time and reported reliably.
Working closely with operations and management, the post-holder maintains the integrity of the ledgers and acts as a key point of contact for suppliers, customers, the bank and external accountants/auditors. A strong candidate combines solid accounting knowledge with a practical understanding of how a forwarder earns and spends money.
Key Responsibilities
Accounts payable & carrier invoices
• Process supplier and carrier invoices (sea, air, road), matching each to the related shipment/job file, purchase order and agreed rates.
• Investigate and resolve cost discrepancies, demurrage, detention and accessorial charges with carriers and agents.
• Prepare and execute domestic and international payment runs, including multi-currency and SEPA payments, within agreed terms and cash-flow limits.
• Maintain supplier records, statements reconciliation and aged-payables control.
Accounts receivable & customer billing
• Raise accurate customer invoices per job, ensuring all recoverable costs, surcharges and disbursements are billed and margins are protected.
• Own credit control: monitor receivables, chase overdue accounts, manage credit limits and escalate risks.
• Allocate incoming payments and reconcile customer accounts.
• Support correct VAT treatment of domestic, intra-EU and international transport services, including reverse-charge and zero-rated cross-border movements.
• Assist with Intrastat and related statistical/VAT reporting obligations and keep supporting documentation audit-ready.
Reporting, month-end & reconciliation
• Perform bank, cash, carrier and inter-company reconciliations.
• Support month-end and year-end close: accruals, IDT transactions, prepayments, job-cost provisions and ledger reviews.
• Assist external accountants and auditors and contribute to statutory and tax reporting.
Payments, banking & data management
• Manage banking platforms, maintaining strong payment controls and segregation of duties.
• Maintain accurate master data (customers, suppliers, rates) in the accounting/forwarding system and ensure clean, consistent records.
• Identify and drive improvements in finance processes, controls and system automation.
Team & coordination
• Act as a finance liaison for the operations team, ensuring jobs are costed and closed correctly.
Requirements
Essential
• Several years' experience in a finance administration / accounting role, ideally within freight forwarding, logistics, transport or a related international trade environment.
• Solid working knowledge of accounts payable, accounts receivable, reconciliations and month-end processes.
• Confident with accounting/ERP systems and strong Excel skills.
• High accuracy, strong numeracy and a methodical, deadline-driven approach.
• Good communication skills in Czech and English (logistics is an international, multi-currency business).
• Eligibility to work in the Czech Republic.
Advantageous
• Experience with forwarding/TMS software.
• Knowledge of Intrastat, SEPA payments and multi-currency revaluation.
