To our office of about 180 employees, we are looking for a new team member to fill the role of Receptionist/Office Management Support. On this position, the person will be in close cooperation with the HR team, and in contact with our Prague employees and some external parties and visitors.
This is a part-time job with time flexibility (2 - 4 hours a day, Monday - Friday).
We offer DPČ/DPP contract with prospect of long-term cooperation.
We are not looking for summer period help, but for a stable and long-standing cooperation.
Role summary:
The person will be responsible for reception and office management duties, but in a company with few external visits - most of the time will be spent on requests from the internal employees.
The main goal is to ensure that the office runs smoothly with adequate supplies and completing all administrative tasks.
There will be a lot of face-to-face conversations with employees, combined with administrative duties.
The common tasks include:
Keeping track of employees’ monthly attendance and updating it regularly in the attendance system
Maintenance and cleaning of the office kitchen
Ordering office supplies according to the needs
Accept mail from couriers, welcome incoming visitors, and guide them
Make sure the office is clean and in order, work with the building's IT system, and be in touch with technicians in case some repairs are needed
Help employees to resolve their requests, e.g. in case of the need for extra equipment for the home office, etc.
Run errands such as sending mail via the post office, arranging stamps, picking up anniversary cakes, etc.
Help with BOZP (Health and Safety) agenda, make sure that employees complete the regular mandatory trainings
And other ad hoc tasks as per the need
Requirements:
Very good communication skills in Czech and English (we are a multicultural company, but still, Czech is needed for communication with some parties)
You should enjoy being surrounded by people
A detail-oriented and organized person
Flexible and open-minded
Self-sufficient and able to plan the workload independently
Problem-solving skills - ability and willingness to help and find the solution
Proactive and curious to learn new things
Previous experience in a similar role is not so important; the willingness to learn is!
