With an expanding Partner group - now eight strong - we are seeking a proactive, resourceful, and highly organized Executive Assistant to provide critical support to our leadership. This role is pivotal in enabling our Partners to operate at their highest value, driving client impact and internal growth.
Role Summary
This role will provide high-level, proactive support to a subset of 4-5 Partners, ensuring they are set up for success across internal initiatives, external client work, and cross-functional leadership collaboration. You’ll handle everything from scheduling and travel to preparing documents, running internal processes, and supporting them other priorities.
This is not a traditional administrative role - it's a dynamic, hands-on position suited to someone who thrives in a fast-moving environment, is systems-minded, and wants to contribute to a growing firm's internal backbone.
It is a fully remote position, flexible working hours - 30-40 hrs / week
Key Responsibilities
1. Executive & Calendar Management
Manage complex calendars across multiple time zones, ensuring seamless coordination between client work, internal leadership meetings, and external engagements.
Anticipate scheduling conflicts and proactively resolve them while maintaining alignment with strategic priorities.
Coordinate group meetings, leadership offsites, and cross-functional sessions involving multiple senior stakeholders.
2. Operational & Project Coordination
Support firm-wide operational initiatives by organizing and tracking activities that require Partner input or coordination.
Draft, format, and finalize high-quality documents such as leadership decks, internal updates, board materials, and project summaries.
Coordinate internal surveys, feedback loops, and pulse checks on behalf of the leadership team; analyse responses and help summarize insights.
Track action items and ensure timely follow-through across leadership team initiatives.
3. Communication & Relationship Management
Act as a trusted liaison between the Partner group and internal teams, clients, vendors, and external collaborators.
Prepare briefing notes, agendas, and background materials ahead of key meetings.
Help cascade internal communications from the leadership team to broader teams, working with HR and operations as needed.
