The Coordinator of Academic Affairs and Career and Internship Programs is a member of the CEA CAPA Prague team, supervised by the Director of Academic Affairs and cooperating closely with the Manager of Career and Internship Programs and another Coordinator of Academic Affairs. The Coordinator will work within the CEA CAPA Prague Academic Affairs team to help manage our Study Center academics, foster cooperation with local university partners providing courses for our students, and handle various tasks and responsibilities related to our career and internship programs.
Responsibilities
Academics
Academic Affairs provides leadership, oversight, and quality control for all academic matters in Prague. This includes academics at the CEA CAPA Prague Center as well as academics at partner universities.
At the CEA CAPA Prague Center, Academic Affairs is responsible to select faculty, manage the creation of new courses and update existing courses, review and update curriculum, and manage faculty to ensure adherence to policies and procedures as well as high academic quality.
Academic Affairs is responsible for maintaining strong ties with partner universities and ensuring that program content and delivery meet the needs of U.S. universities and students and are of acceptable quality.
Academic Affairs is responsible for student advising, both pre-departure and onsite, to ensure students are well-informed on all academic policies and procedures, as well as managing student academic concerns directly with students and directly (for Study Center courses) or indirectly (with partner universities) with the professors involved. This requires that Academic Affairs is regularly available to students for planned and drop-in meetings and devotes time during add/drop for intensive advising.
Academic Affairs cooperates with CEA CAPA global-level Academic Affairs leadership and academic staff at other CEA CAPA sites on global projects.
Responsibilities and Tasks
Study Center
- Assists with management of SC syllabi, associated preparatory work, and updates/revisions.
- Assists with keeping the Prague Center in line with requirements set forth by the School of Record for course/faculty approvals.
- Reviews evaluation/assessment data to help ensure teaching is always of the highest standard and supportive of stated learning outcomes.
- Ensures that faculty and students have the information they need to succeed in teaching and learning at the CEA CAPA Prague Study Center.
Partner Relations
- Represents CEA CAPA Prague to external partners including but not limited to local partner universities, focusing on academics but also other aspects of CEA CAPA Prague operations.
- Fosters a positive working relationship between the CEA CAPA Prague and local partner universities to accentuate mutually beneficial cooperation, helping ensure proper academic protocols, processes and resources are in place and proactively address any concerns that arise.
Advising and Academic Administration
- Communicates academic advising protocols and provides continuous academic advising to students throughout the semester on various academic issues and grievances, such as course selection, performance, attendance, special requests, grade appeals, etc.
- Ensures students follow academic protocols and seeks out opportunities to assist students to succeed at a higher level academically.
- In collaboration with other staff in Academic Affairs, maintains and updates the CEA CAPA Prague syllabus library
- Gathers and processes academic semester data (course enrollment, GPA, course evals, etc.).
- Maintains a close working relationship with the Director of Academic Affairs and members of the Academic Affairs team, proactively bringing issues, concerns, questions, and ideas to the Director of Academic Affairs.
- Other tasks and responsibilities as determined by the Director of Academic Affairs.
Career and Internship Programs
Career and Internship Programs (CIP) cultivates and sustains business relationships throughout the local community to provide mentors and hosts for our interns, who are integrated into these companies and organizations during semester or summer internship experiences. CIP works with both standard and custom program students before arrival and on site to make sure they are well prepared for the internship and that they have an engaging learning experience at the host site. CIP helps to oversee the internship course to ensure alignment between the internship experience and multicultural workplace theory, directly teaching/facilitating parts of the course on site.
Responsibilities and Tasks
Students
- Works with students during the months before they arrive in Prague to help them identify the best internship opportunity and to refine their expectations of the experience.
- Evaluates the readiness of internship program students prior to arrival and addresses problematic cases with CEA CAPA global.
- When students are on-site, helps ensure that the placement is effective both for the student and the host site.
- Assists with monitoring student progress and engagement with their internship work placement on site and addresses any concerns from employers and students.
- Ensures that students stay on track in terms of meeting their minimum work hours to earn credit.
- Interviews students before arrival.
Host Sites
- Contributes to maintenance and expansion of the portfolio of internship placement sites.
- Administers the placement matching process, including sourcing new placements ad hoc.
- Monitors host site cooperation and addresses any concerns.
- Establishes new relationships and maintains existing relationships with companies and organizations in our portfolio of internship host sites in Prague.
- Communicates with potential host sites about particular students before the program to match students to the best possible placements.
Administration and Other
- Coordinates and communicates with CEA CAPA Prague CIP-staff and CEA CAPA global for the placement process, administration, and sharing of best practices.
- Handles administrative processes related to the internship program including Salesforce reporting and documentation, contracts, time logs, supervisor evaluations, etc.
- Addresses and documents any issues with students or host sites, notifying the Manager of CIP and/or Director of Academic Affairs as appropriate (and receiving needed support).
- Maintains and updates the internship company log to facilitate institutional memory and cooperation with other staff on the internship program.
- Maintains a close working relationship with the Manager of CIP and the Director of Academic Affairs, proactively raising issues, concerns, questions, and ideas and receiving needed support to succeed.
- The Coordinator has full support of superiors and other staff, but the Internship Coordinator is also individually responsible to complete certain tasks and responsibilities independently while communicating and concerns and reporting results. Like all CEA CAPA Prague staff, the Internship Coordinator will occasionally help other departments listed above and be expected to interact with students, visitors, colleagues, and professors in an open, positive, and professional way. The Internship Coordinator must be effective in communication with these groups, working within the CEA CAPA Prague team toward clear goals and being authorities for students on our programs.
CEA CAPA Prague Team and General Operations
- Spends working hours at the CEA CAPA Prague Study Center when not doing on-site work such as leading student activities.
- Cooperates with other staff in completing tasks that are assigned as responsibilities to certain sub-teams.
- Cooperates with other staff in setting a work schedule and then making either temporary short-term or lasting long-term changes to the schedule.
- Keeps in regular communication with other team members, especially supervisors, by email, phone, and text.
- Cooperates with the whole CEA CAPA Prague team to create safe, educational, and high-quality study-abroad experiences for students.
- The CEA CAPA Prague team covers agendas related to the following departments: Health and Safety, Academics, Career and Internship Program, Custom Programs, Student Services, Program Administration, Student Housing.
Qualifications
- Minimum of 3 years of experience in a workplace interacting with colleagues and customers/clients required.
- Master’s degree required.
- Competence behaving and communicating in a professional environment required.
- Excellent verbal and written communication skills in English and Czech/Slovak required.
- Authorized to work in the Czech Republic required.
- International experience preferred.
