Conference Coordinator

Codan Consulting is a boutique organizer of international scientific and professional conferences. We are currently looking for a Conference Coordinator to support the planning, organization, and delivery of our international conferences and corporate events.

This role is ideal for someone who is highly organized, proactive, communicative, and enjoys working in a dynamic international environment. You will be involved in a wide variety of tasks ranging from event coordination and communication with speakers to marketing activities and onsite conference management.

Responsibilities

• Plan and deliver scientific conferences and corporate events
• Coordinate all aspects of conference organization and timelines
• Research venues and destinations for events
• Communicate with speakers, delegates, partners, and suppliers
• Coordinate scientific programmes and speaker communication
• Negotiate contracts and manage supplier relationships
• Develop marketing campaigns to increase registrations and visibility
• Prepare publications, promotional materials, and conference communications
• Manage social media, newsletters, and event websites (WordPress)
• Handle registrations, administration, and project documentation
• Provide onsite conference support, including troubleshooting and speaker coordination

Skills & Requirements

• Excellent English language skills, both spoken and written
• Proficiency in MS Office; familiarity with WordPress and digital communication tools is an advantage
• Strong organizational skills and excellent time management abilities
• Exceptional communication skills and interpersonal skills
• Positive, proactive mindset with strong problem-solving abilities
• Flexibility, adaptability, and a creative approach to challenges
• Ability to work independently, prioritize tasks, and think critically
• Previous experience in scientific conference or event organization is an advantage, but not required
• Higher education is an advantage; no specific academic background required
• Additional European language skills are a plus
• Willingness to travel internationally several times per year for conferences and meetings
