Office Manager - early start in December is welcome

Job Description


We are currently looking for an Office Manager for our office in Prague. This position entails many different responsibilities and tasks and also offers plenty of opportunities to bring your own ideas and use your own creativity. Here are some of them:

  • Works closely with Office Director, HR, IT, and other leadership to plan and manage facility needs (manage seating assignments, adding or consolidating office space, etc.)
  • Responsible for the development and design of improved administrative procedures
  • Greets and logs in visitors as appropriate; resolves routine administrative problems and maintain the reception phone, supports audits/visitors, handles incoming/outgoing post, DHL
  • Organize local meetings, business trips and other events
  • Administrator of MS Teams, keeps contact list of employees and other trackers up to date
  • Communicates with vendors and service providers
  • Organize/ maintains the overview of Health and safety trainings and regular checks of the office
  • Working in close cooperation with HR to support onboarding and offboarding process of Employees, team buildings
  • Maintenance of the company car park
  • Responsible for administration of the company´s assets
  • Serves as liaison to property management for office related issues, communicates with Property and Facility management of the building
  • Additional ad hoc tasks when needed

Qualifications

  • High school diploma or relevant experience within administration.
  • Office Management/extensive assistant experience is highly welcome
  • Fluent Czech and English (you are sure to use English daily)
  • Active driver (driving licence B)
  • Positive, can-do attitude and innovative spirit
  • Ability to communicate effectively in writing and verbally
  • Flexible and easy to adapt to a changing workload
  • Possess organization/coordination, analytical and problem-solving skills
  • Enjoys being part of a multinational team in an international corporation (PrimeVigilance/Ergomed offices are located worldwide)
  • Agrees to work mainly from office though occasional home office may be agreed
