Institutional Fundraising Advisor

Job location: Prague or your home location with trips to international Country Programs (up to 30% of time per year)

Type of contract: Full time (40 hours/week)

Duration: 1 year with possibility to extend

Starting date: 1st October 2021 or upon agreement

About the role:

The Institutional Fundraising Advisor (IFA) works under the supervision of the Head of the Institutional Fundraising Unit (IFU) and in close collaboration with Country Programmes, Desk Officers and Regional Directors, in line with PIN’s Relief and Development Department Strategy. As part of IFU, the new Institutional Fundraising Advisor will join a dynamic team of in-house technical and program development advisors, working under the umbrella of PIN’s Knowledge and Learning Department (KLD).

Main Duties & Responsibilities

Proposal development

  • Support country positioning and donor intelligence
  • Proactively engage with Country program to improve their fundraising strategy, in coordination with other IFU staff
  • When requested, the IFA will support proposal development, the tasks and responsibilities include:Proposal calendar development with , allocation of responsibilities and and leading a team of staff in preparation and production of proposals, consequently developing either full proposals or their parts based on the agreements
  • Complicancecompliance with the donor´s requirements and strategic priorities, as well as the strategic objectives of People in Need
  • Coordination and communication with selected donors
  • Leading and/or supporting partner negotiations including teaming and pre-bid agreements
  • Coordination of required technical inputs, with other PIN units (especially Knowledge & Learning)
  • Full and timely submission of complete proposal and annexes

Donor Intelligence

  • Familiarity with program priorities of key donors and their funding requirements (especially EC, US GOV, different UN agencies)
  • Contribution to the diversification of funding from institutional donors (establishing relationships with new partners/donors/organizations, etc.)
  • Representing PIN in positioning with selected institutional donors.

Institutional Knowledge

  • Responsible for systematic sharing of project formulation and proposal writing lessons learnt among the PIN staff
  • Responsible for ensuring institutional knowledge about solicited projects and donors´ requirements and priorities (Induction training, capacity building, face-to-face consultation, debriefings)

Coordination within KLD and RDD

  • Promotion and development of tools supporting proposal development, as needed
  • Implementation of annual plan and KLD priorities as agreed
  • Regular participation in KLD, IFU and organisational strategic meetings meetings and strategic
  • Close cooperation with other KLD technical advisors, MEAL unit
  • Regularly updated assignment plan and timesheets
  • Development of new resources and contribution to existing KLD products (Knowledge and Learning Centre, Indikit etc.)


Main requirements:

  • A minimum of 3 years of experience developing and managing complex proposal development processes
  • Proven track record in securing highly competitive bids (incl. DEVCO/ECHO, USAID, FCDO, SDC, GAC, UN agencies, etc.)
  • Demonstrated experience in the INGO sector and/or institutional donors agencies
  • Proven knowledge of various institutional donors strategies
  • Excellent command of written and spoken English; knowledge of French, Portuguese, Russian and/or Arabic are an advantage languages is an advantage
  • Ability to perform under time pressure, have flexibility, work independently, manage multiple tasks and work effectively in fast-paced and multi-cultural environments
  • Strong critical thinking, problem solving, coaching and mentoring skills
  • Have the ability to both coordinate different teams and participate in different team environments
  • Excellent communication, writing, editing and proofreading skills, with an eye for proposal messaging, themes, proposal aesthetics and content
  • Knowledge and experience with service contract modality is an asset
  • Familiarity and experience working in the NGO sector across Asia, particularly in the countries where PIN’s Country Programmes are located, is an asset
