Customer Service Representative


The Customer Service Representative acts as the liaison between external customers, Sales Engineers, internal warehouses & manufacturing groups. The CSR is responsible for the customer and distributor orders for European customers and worldwide. The CSR will process new orders, monitor and maintain existing orders, and general customer maintenance administrative duties.


  • Review, process and maintain routine and expedited customer orders. Orders are received via email or phone. Coding of orders with product part numbers and verifying pricing details.
    Review customer order acknowledgements to ensure a match with customer purchase order or clarify any discrepancies with customer in written form.
    Create and maintain customer master data with latest information and order processing instructions.

    Process stock transfer orders.
    Co-ordinate customer collections with Shipping Departments throughout our sites
    Provide customer quotes for pricing, availability, transport.
    Maintain a high level of customer service as reflected by a low number of customer complaints.
    Work closely with Production Control, Purchasing, and Shipping to ensure our customers’ needs are being met.

    Create and process customer claims through our software systems.
    Enter various requests on behalf of customer or Sales Engineer includes but not limited to samples, credit / debit requests, new part number and corrective action requests.
    Report review and maintenance (i.e. backlog report & allocation reports)

    Export CSR’s will be required to have extensive knowledge of Export order processing including ocean and air freight shipment regulations; export documentation including Letter of Credit.
    Support and continuously improve Key Performance Indicators as set for CSA’s and the Customer Service Department


  • High school or University - economical or technical specialization
    A minimum 2 years of customer service experience, experience in Export Shipments (outside EU), Documentation and Letter of Credit an advantage
    Fluent English and French or Italian – min B2 is necessary
    Export (outside EU) - experience with shipments via sea containers, air freight, Letter of Credit, Certificates of Origin, general export documents. Shipments into any areas for Africa, Asia, Middle East, US, South America.
    Excellent organizational and communication skills.
    Coordination and balance of diverse activities with accuracy and prioritizing tasks
    Must have good communication skills and strong detail orientation.
    Ability to work in high stress environment and meet short term deadlines.
    Capable of handling multiple priorities and adapting to change with ease.
    Willing to take on additional tasks and work effectively on a team.
    The ability to get along with others is also important.
    Thorough understanding of order processing from customer order receipt; production confirmations; inventory availability to final invoice.
    Computer skills, Microsoft Office
    Knowledge of an ERP System, preferably SAP
