Payroll Specialist

  • Ownership of the day to day running of a payroll or a group of small payrolls within a region
  • Supervise and support service delivery of Payroll processes, ensuring timeliness, accuracy and quality of work / reports
  • Support coordination with other functions (including leadership) as well as Global Process Owners

1. Responsibilities

  • Responsible for day-to-day payroll processes (payroll adjustments, benefit deductions, pension contribution calculations), ensuring timeliness, accuracy and quality of work / reports
  • Review and support service delivery and operations of transactional payroll process regions such as EMEA, APJ, AMS and timely processing of monthly payroll
  • Review all payroll payments for appropriate documentation and approval prior to payment
  • Review processed work by verifying entries and comparing system reports to balances
  • Maintain accurate payroll records and employee files, including manual check log and reconciliation of payroll account
  • Responsible for investigating and resolving payroll issues with vendor and for field offices.
  • Co-ordinate with internal groups such as HR to resolve payment related issues
  • Turnaround of all customer and employee queries and issues with a focus on customer service (including escalation management, if required)
  • Support and coordinate the audit process (Internal Audits, SOX Audit, Local Statutory Audit, External (Process & Systems): coordination of documentation support and providing necessary explanations
  • Correct and punctual calculation of the salaries in terms of legal requirements, employment contract agreements and employer's agreements
  • Maintaining and performing payroll/time tracking transactions accordingly to specific regulations of country
  • Ensuring post payroll activities (payments file to bank, print & distribute pay slips, etc.)
  • Giving an active support and meeting deadlines in answering all payroll/time tracking issues and queries raised by the employees, their managers or any other parties (e-mail or other CRC tools)
  • Preparing prompt and correct statements required in the process according to employees' orders (terminations, certificates, sickness certificates, health insurance certificates
  • Preparing timely Monthly/yearly/quarterly declarations according to the local legal requirements
  • Time tracking system management
  • Work closely with key internal stakeholders e.g. Operations, Sales and other external third party suppliers to ensure best practice payroll delivery

2. Required Skills and Experience

1. Education and Experience

  • University degree, ideally in HR or Finance
  • Certified in Payroll (FPC) will be an added advantage
  • Previous experience in the HR or Finance functions (Payroll Related) or specifically within payroll

1. Knowledge and Skills


  • Strong domain knowledge in Payroll processes
  • Strong understanding of personal tax laws in assigned geographies
  • Experience of payment processing on finance & accounting systems and other Payroll applications
  • Fluency in English language (verbal and written)
  • Business Level fluency of language for country payroll applied for
  • Strong organisational skills and ability to manage multiple priorities with a sense of urgency and action orientation
