Receptionist / Front Office Assistant

We are searching for a pleasant, helpful and reliable person who is not afraid to communicate in English and is able to handle general administrative tasks.

The receptionist / Front office assistant in Scania is responsible for functioning of a company reception, representing the company towards all visitors and external callers.

Key roles:

  • Providing the first contact with visitors and customers - monitoring the entrance hall, responsibility for the smooth running of the front office environment.
  • Welcoming, announcing and guiding the visitors to the conference rooms.
  • Switching all telephone calls, promptly delivering the messages by the phone, e-mail or personally.
  • Providing the refreshment for the visitors, monthly preparing the final accounts of refreshment costs
  • Daily distribution of incoming mail, the incoming invoices are registered in the chart and providing the registration and sending of outgoing mail.
  • Taking care about the ordering of office material, business cards, stamps.
  • Providing ordering of taxis, TNT, Messenger and contact with the night security service.
  • On request recording employees attendance in the attendance system
  • Issuing and activating the identification cards for the employees, registration of the visitors and providing them with the visitors badge
  • Cooperation in company events organization
  • Cooperation with HR, Purchasing, Management secretary on other tasks on request

Requirements:

  • Fluency in Czech or Slovak language and intermediate (B1) use of English language required
  • Good communication skills
  • General computer skills (Outlook, Word, Excel, Powerpoint)
  • Punctual, proactive, customer care oriented and reliable
  • Flexible and positive attitude
  • Driver licence B
