(IT) Office Coordinator

For our international IT organization we are looking for an Office Coordinator to undertake a variety of day-to-day tasks. You will be an integral part in ensuring that our NN IT HUB office run smoothly and are successful in supporting other business activities.

An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.

The goal is to ensure that office operations are efficient and add maximum value to the organization.

Your responsibilities:

  • Support IT HUB management in their daily tasks (agenda management, setting up and coordinating meetings and conferences, making notes and minutes, organizing events)
  • Maintaining travel approval/expense declarations. Arranging business travels, travel insurance & accommodation
  • Invoice/order management in close cooperation with the management, finance, vendor management and procurement
  • Preparation of presentation and coordinate operational communication/marketing with local support functions
  • Ensuring trainings for employees and executing related administrative agenda *Providing office orientation for new employees, "buddy" for all staff (eg. ordering IT equipment, support in floor plan management)
  • Contract management - maintains contract database, entering new contracts into system. Facilitating the signing process of IT HUB contracts with the BU's worldwide. Keeping track of the status of the contracting process, keeping deadlines of signing process

Your profile:

  • Experience as office coordinator or in a similar role
  • Experience from IT company is an advantage
  • Excellent organizational and administrative skills
  • Customer and action oriented
  • Advanced knowledge of MS office
  • Great communication and people cooperation skills
  • Flexibility to interact with different cultures
  • Willingness to help others
  • Very good level of English language
  • Ability to handle stressful situations
