Training Coordinator (Contracts & Events)

The purpose of this role is to provide contracts support for Health Care Professionals (HCPs), organize training events and manage associated administrative activities.

Key Responsibilities:

Contracts

  • Generate and complete HCPs & HCOs (Health Care Organisation) contracts (eg. For proctors, training events and Centre of Excellence)
  • Review all contracts to ensure compliance with established guidelines, including securing appropriate approvals, signatures & renewals
  • Monitor and update contract templates, implement appropriate local laws and provisions across the EMEA region.
  • Coordinate contracts completion and updates with compliance and legal

Administration

  • Process invoices for the HCPs/HCOs, track costs and observe budget
  • Administer Quality related activities, file quality associated documents
  • Collect annual need assessment for HCPs training activity for the department

Event Organisation

  • Organize and manage HCPs events including creation of the event in our system (CVENT)
  • Plan event details such as venue, travel, transportation, reservations etc
  • Supplier & vendor relationship management

Other tasks

  • Monitor, analyse and report related data on regular basis such as trainings sessions, proctor activities etc.


Education and Experience:

  • Minimum high school diploma required, Bachelor´s degree preferred
  • 2+ years of previous related experience
  • Experience from medical device, pharmaceutical or similar industry preferred

Additional Skills:

  • Great verbal and written communication skills in English required; knowledge of another European language preferred (e.g., Spanish, German, French, Italian)
  • Good computer skills in MS Office Suite, Adobe, Excel and ability to operate general office machinery
  • Ability to interact professionally with all organizational levels, including external contacts
  • Flexible, open-minded personality
  • Ability to work in a fast-paced agile environment
  • Attention to details
  • Knowledge of HCP interaction and AdvaMed code of ethics is of advantage
  • Knowledge of HCP expense policy is of advantage
  • Knowledge of business systems (CVENT, ECLM, Coupa, Councur, Travel Request Processing or similar) is of advantage
